Reports to: Vice President of Sales
Position Summary: Provides principal administrative support to Vice President of Sales and/or Sales Manager(s). Works fairly independently. May provide clerical support to other personnel.
Essential Functions:
- Performs general secretarial functions and assists Sales Manager(s) in day-to-day operations of the department.
- Handles daily correspondence, meeting planning and travel arrangements for Manager(s). Prioritizes and distributes all incoming correspondence, faxes and general mail for Manager(s).
- Monitors all aspects of the department budget, including preparation of invoices, check requests and purchase orders, verification of expenditures against line items, adjusting of accounts and updating Manager(s) on a monthly basis.
- Maintains VisitNorfolk Sales Department merchandise including, estimates, orders, inventory and requests.
- Maintains organized file system (paper and electronic) for department, including accounting records.
- Assists with departmental projects.
-Coordinates committee meeting schedules and attendance for all committees supported by the department, includes maintaining timely correspondence and minutes for meetings.
- Maintains department statistics, ensuring that data is current and correct.
- Creates various reports, utilizing database(s).
- Provide front desk relief for receptionist.
- Ability to lift 30 pounds
- Project a positive image of Visit Norfolk and display a positive attitude in all internal and external communications.
- Ability to deal with delicate and controversial matters on a continuing basis.
Requirements:
- Excellent knowledge and functionality in use of office computer software including excel and word. Ability to create reports, graphs, etc.
- Ability to quickly learn industry related computer software such as In Design, Adobe and other media programs.
- Strong customer service and business etiquette skills.
- Work requires high degree of accuracy, good judgment, excellent oral, proofreading, written communication skills and strong attention to details.
- Good organizational skills and ability to multi-task
- Ability to meet deadlines
- Ability to work in a fast pace environment.

Position Summary: This is a front line position that involves extensive public contact work as well as some selling and some entry-level clerical work. Work involves greeting visitors, answering visitor inquiries, helping plan tour itineraries, assisting visitors with hotel reservations, selling merchandise, keeping track of inventory, keeping brochures organized, inventoried, and stocked, and keeping attendance records. The work involves answering many telephone inquiries, operating standard office machines, and mailing out information packets.
Essential Functions:
- Greet visitors and answer questions at one of several Visitor Information Centers.
- Keep brochures in appropriate racks in a neat and attractive manner.
- Help promote the City of Norfolk by recommending attractions, restaurants, and hotels.
- Sell souvenirs and other appropriate merchandise.
- Make hotel reservations for visitors.
- Assist with convention registration and hospitality.
- Work with maps to route visitors and give directions.
- Project a positive image of the Norfolk Convention and Visitors Bureau and display a positive attitude in all internal and external communications
Requirements, Training, and Experience
- Graduation from high school with some experience in public contact work; or any equivalent combination of training and experience which would provide the following knowledge, abilities, and skills.
- Good oral communication skills.
- Outgoing personality.
- Ability to operate standard office machines such as copier, fax machine, postage meter.
- Basic knowledge of computer applications.
- Ability to handle money and keep records.
- Ability to perform the physical aspects of the job which may include lifting boxes of up to 35 pounds, and standing for extended periods of time.
- Ability to read and locate places on a map.
- Ability to work weekends, evenings, and holidays as needed.

CURRENT INTERNSHIPS
Public Relations Intern. VisitNorfolk is currently looking for a Public Relations Intern to assist with the planning, development, and execution of public relations plans; help manage VisitNorfolk’s internal and external communications; track press clippings and impressions; and complete other public relations duties as assigned.
Requirements:
Available to work a minimum of 10 hours per week
Available for a minimum of 3 months
Must be enrolled in school during entire internship
Skills/Knowledge:
Must have excellent knowledge of all social media. We have Twitter, Facebook, YouTube and BlogSpot accounts. Microsoft Word, PowerPoint, and Excel and Adobe a plus.
